**While the full salary range for the Administrative Coordinator - Detention Services position is $22.50 - $33.76 hourly / $46,800.00 - $70,220.80 annually, the anticipated hiring range is $24.08 - $28.13 hourly / $50,086.40 - $58,510.40 annually.**

GENERAL STATEMENT OF DUTIES:
Under the general supervision, the Administrative Coordinator - Detention Services performs a variety of complex technical, clerical and administrative duties. This position requires the ability to multi-task, plan an organized work schedule, effectively use computers and departmental software, and perform daily administrative tasks efficiently and productively.
Duties

EXAMPLES OF ESSENTIAL FUNCTIONS:
The following duty statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required.

  • Performs a variety of high level administrative functions; develops, composes, transcribes various documents, reports and memoranda requiring accuracy and considerable knowledge of the Sheriff's Office and section policies and functions.
  • Serves as the Payroll Administrator for the Detention Services Bureau, which includes monitoring bi-weekly payroll entries and communicating with managerial staff to ensure the correct information has been submitted in the InTime and SAP time keeping systems and processed in a timely manner. Investigates errors in the time recording system and elevates the problem to the appropriate channels. Acts as the point of contact for staff questions.
  • Creates and builds employee shifts and patterns in InTime to include maintaining employee records, time banks and exporting of worked time to SAP to ensure proper payroll and time recording.
  • Performs timekeeping duties for the Detention Services Bureau to include: schedule changes, FMLA, sick, vacation and overtime.
  • Tracks and documents Workers Compensation, Military Leave, FMLA, and Modified Duty.
  • Prepares specialized reports and maintains and updates databases relating to the core function of the Detention Services Bureau.
  • Handles daily tracking of all pod log entries, collecting Incident Reports for use of force accidents and working with Risk Management for worker's comp approval and coding.
  • Tracks and submits monthly Detentions accreditation summaries
  • Tracks and maintains E-subpoena audits.
  • Responds to inquiries and gathers information as requested from the public, Sheriff's Office employees and other law enforcement/governmental employees and applies procedural knowledge to determine the appropriate response.
  • Collaborates with Human Resources to maintain the organization chart, onboard new employees, and update employee movement throughout the year.
  • Schedules and/or coordinates meetings, meeting rooms and training requests, as required.
  • Files and sorts a variety of documents, to include sensitive and confidential information.
  • Scans, sorts, routes, and prepares mail and other documents for the assigned bureau or section.
  • Maintains, distributes, orders and organizes office supplies for the assigned bureau or section.
  • Reviews draft documents for punctuation, spelling, and grammar; makes or suggests corrections to drafts.
  • Manages and maintains office equipment such as phones, copiers, printers and scanners.
  • Arranges retirement parties and other events.
  • Possesses a professional demeanor, excellent interpersonal skills and interacts effectively with others.
  • Maintains regular and acceptable attendance at such level as determined at the Sheriff's Office discretion.
  • Performs duties onsite, except those job duties that are customarily or by nature performed offsite.
  • May be assigned other duties as necessary.
Requirements

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Thorough knowledge of basic office methods and procedures, spelling, punctuation and grammar.
  • Thorough knowledge of Agency operations, laws, rules, regulations and procedures.
  • Knowledge and ability to operate computers and commonly used computer software programs including Microsoft Office, as well as any other standard office equipment, as required by the position.
  • Knowledge of FMLA, Workers Compensation, and Modified Duty leave laws.

  • Ability to maintain a high level of confidentiality.

MINIMUM QUALIFICATIONS:
EDUCATION: High school graduate or GED equivalent; additional vocational courses in office management are helpful.

EXPERIENCE: Three (3) years of administrative assistant experience.
OR
Any equivalent combination of education and experience that satisfy the requirements of the job.

CERTIFICATIONS / LICENSES: None.

NECESSARY SPECIAL REQUIREMENTS:

  • Must possess CPR and First Aid certification within the initial status period.
  • Must be able to type at least 40 WPM corrected.

PHYSICAL DEMANDS:

  • Constant use of eye, hand and finger coordination enabling the use of automated office machinery, and writing utensils.

  • Spends 80% of the time sitting, 10% standing, and 10% walking while on the job.
  • Occasionally stoops, kneels, crouches and balances while filing or operating office machinery.
  • Frequently uses visual capacity enabling completion of required office duties.
  • Occasionally lifts or carries up to 20 lbs. when moving office supplies or files.

JOB-RELATED CONTACTS:
Personal contacts involve other employees, officials, officials of other agencies such as Court Services, the District Attorney's Office, and other law enforcement agencies, and the public. Personal contact with any individual of the public, an inmate or arrestee is normally a single occurrence. Hand-to-hand exchanges of documents, money, personal property, clothing and other items may be required. Face-to-face verbal communications between the member and an individual is required, but is mainly singular. The member's anticipated contact with blood; bodily fluids or other medical hazards are rare. The member should have adequate time to take precautionary and protective measures.

WORK ENVIRONMENT:
Work is performed in a standard office environment; numerous occasions require extended daily work hours.

401(a) DEFINED BENEFIT RETIREMENT PLAN:
Arapahoe County Sheriff's Office employees participate in a mandatory defined benefit program designed to help employees establish a source of income for retirement years. Through the Plan, eligible employees must set aside 9.00 percent, which is subject to change in the coming years, on a pretax basis of which the County matches at 9.25%. The County also contributes 6.2% to Social Security.

BIO-HAZARD NOTICE:
This position has been determined to be a MINIMAL exposure risk to "bio-hazards" associated with blood-borne pathogens HIV (aids), HBV (hepatitis B) virus, and air-borne transmissions of TB (tuberculosis). Members are advised that exposures to these "bio-hazards" may result in severe illness or death. Members are required by Agency policy to use protective equipment and clothing. Inoculation may be required to prevent or treat exposures to "bio-hazards".

* Illegal Drug Use - Applicants who have recent illegal drug usage will be disqualified. Recent drug use includes marijuana within one (1) year and all other illegal drug use within the past five (5) years. All other illegal drug use will be evaluated on a case-by-case basis.

* Driving Record - This includes receiving a DUI within the past five (5) years, having your driver's license suspended for any reason within the past five (5) years, and having five (5) or more tickets within the past five (5) years.

REQUIRED EXAMINATIONS:
The screening process for any position within the Sheriff's Office may include written test(s), an oral interview, skills test(s) and/or other selection methods designed to measure applicants' ability to perform the essential functions of the job they are seeking.

Additional required tests/examinations also include:

  • Typing Test: 40 WPM or faster corrected
  • Wonderlic HAY Test or equivalent testing
  • Microsoft Office Testing
  • Phase I Suitability Exam
  • Polygraph Examination

Additional screening may include:

  • Psychological Evaluation
  • Medical Examination, including a drug screen
  • Background Investigation - This will include, but is not limited to, contact with the applicant's former employers, associates, neighbors and other pertinent sources. Applicant's military history, school records, police records and driving record will also be investigated. All examinations are conducted by qualified/licensed individuals designated by the Sheriff's Office at the Sheriff's Office expense.

EXPECTED DURATION OF THE APPLICATION PROCESS:
Due to the nature of the application and selection process for the Sheriff's Office, applicants can reasonably expect the application process to take a significant amount of time to complete before a decision is made to hire or not to hire. Typically, it takes approximately six (6) to twelve (12) weeks from the date of application to complete the entire selection process. The length of time it takes to complete the process can vary depending on a variety of factors. Please note that this is an estimated duration of the selection process.

WORK SCHEDULES:
Employees are required to work the time periods and/or shifts, rotational and/or stationary, and location assignment, consistent with the needs of the Sheriff's Office.

DUTY ASSIGNMENTS:
All applicants hired by the Sheriff serve at the pleasure of the Sheriff of Arapahoe County and may be assigned to any of the agencies bureaus, sections or units at the discretion of the Sheriff or his duly appointed representative. Employment is at the will and pleasure of the Sheriff, per Colorado State Statute: 30-10-506. Written policies and other manuals do not alter the at will status of employment.

INITIAL STATUS PERIOD OF EMPLOYMENT:
Successful applicants are subject to an initial status period of employment. This initial status period is twelve (12) months for all positions. The initial status period is regarded as part of the applicant's examination process and will be utilized for purposes of employee evaluation, training and adjustment to the demands of the profession. New employees, who fail to perform satisfactorily during the period, may be separated from the Sheriff's Office, depending on the circumstance of each case.

POLICY ON REAPPLICATION:
Applicants who failed a written test may reapply and retest no sooner than three (3) months from the date they took the written test. All other applicants who are disqualified can reapply with the Sheriff's Office no sooner than one (1) year from the date of notification of non-selection.
