Summary
The Lease-Document Storage Administrator manages all lease agreement aspects, ensures lease terms and conditions compliance, and coordinates document retention efforts across various departments and locations. This role requires strong communication skills, attention to detail, and working efficiently in a fast-paced environment. It will also support the operational and regulatory requirements of our global real estate portfolio.

Essential Duties and Responsibilities
* Review, analyze, and audit lease agreements for all global office locations (Mainly US), ensuring that the terms, conditions, and guidelines comply with regulations, including GAAP and IFRS standards.
* Coordinate lease renewals, amendments, and terminations as necessary.
* Develop and maintain document retention policies and procedures in coordination with compliance retention guidelines.
* Oversee the organization, storage, and retrieval of business-related documents stored with third-party vendors.
* Maintain accurate and up-to-date lease databases in conjunction with accounting and tracking systems.
* Generate reports and provide analysis on lease metrics and trends.
* Facilitate communication and resolution of lease-related issues and inquiries with internal and external stakeholders.
* Monitor changes in regulations and industry standards impacting lease administration.
* Identify opportunities to optimize lease terms and reduce occupancy costs.
* Provide training and guidance to internal stakeholders on lease administration processes.
* Utilize lease management software and document management systems effectively.
* Explore and implement technological solutions to enhance efficiency and accuracy.
* Identify opportunities for process improvement and automation in lease administration.
* Participate in cross-functional initiatives to enhance overall real estate portfolio management.

Qualifications
* Familiarity with lease agreements, clauses, and legal terminology related to property leases.
* Ability to accurately review, analyze, and interpret lease documents to ensure compliance with terms and conditions.
* Ability to accurately categorize, index, and tag documents for proper retention and disposal based on organizational policies and legal requirements.
* Strong written and verbal communication skills.
* Ability to manage multiple leases, deadlines, and tasks simultaneously while maintaining meticulous records and documentation.
* Proficient in using electronic document management systems to organize, store, and retrieve documents efficiently.
* Familiarity with relevant regulations and compliance standards governing document retention industry-specific regulations.
* Ability to analyze document workflows, assess retention needs, and develop strategies for optimizing document retention processes while ensuring compliance and efficiency.

Education and Experience
* Minimum Required: Bachelor's degree in a business-related field or equivalent work experience.
* Minimum Required: 3+ years of related experience.

Licenses and Credentials
* Minimum Required: None.

Systems and Technology
* Proficient in Microsoft Office Suite.
* Proficient in using lease management software such as MRI, Yardi, or LeaseQuery.
