The College of Nursing has an opening for a full-time, State Classified ELT Operations Program Assistant position.
Job Summary:
The Experiential Learning Team handles all processes related to experiential learning with the CU College of Nursing, including the Clinical Education Center (CEC). The Operations Program Assistant manages the administrative operations of the Experiential Learning Team. This position will be responsible for managing operations within experiential learning, the clinical education center, the Simulation Labs, and clinical placement processes within the CU College of Nursing.
Examples of Work Performed:
Experiential Learning Operations (100%)
- Manages operations related to Clinical Education and Placements for both Undergraduate and Graduate Programs.
- Student Experience: Consistent point of contact and communication for students; Zen desk triage.
- Administrative:
- CV / Dora requirements - storage and maintenance of all needed documents.
- Manage processing of Clinical Scholar Agreements related to undergraduate placements including reconciliation of billing submitted by each agency.
- Maintains current list of clinical scholars in agencies; shared with UG Manager.
- Management and tracking of affiliation agreements for BS, MS, and DNP programs, including:
- Processing and completion of affiliation agreements.
- Review of legal language established by CU Legal.
- Completion of training from CU Legal.
- Serves as Subject Matter Expert for affiliation processes within the Clinical Education & Placements Team.
- Event planning for department (course orientations, group meetings, educational meetings).
- Logistics and planning of Clinical Scholar Workshop - 3X annually in collaboration with team.
- Initiation of departmental meetings (minutes, agendas, invitations, Zoom); leads meetings in collaboration with faculty.
- Management of incoming mail (AMC).
- Data:
- Ensures that student evaluations are being completed on the correct faculty for Onsite Clinical Simulation in the course evaluation.
- Obtains evaluation data from course evaluations related to agencies and instructors.
- Provides analytics of the student evaluations for simulation program.
- Initiates additional program evaluation as needed.
- Run reports to analyze, validate, and confirm the data related to clinical simulation. including attendance, curriculum, and student evaluation.
- Qualtrics surveys as requested.
- Collaborate with Director regarding quality metrics and tracking.
- Financial CEC/Sim:
- Procurement card reconciles - monthly expense reports in collaboration with Director.
- Purchase orders for capital purchases.
- Tracking of invoices.
- Purchasing on CU Marketplace.
- Reconciliation of travel expenses.
- Track faculty development professional funds.
- Staffing / HR / Schedules:
- Facilitation of hiring process for teaching assistants, and contract/adjunct/adjoint faculty (coordination of interviews, etc.).
- Once TA and/or contract faculty are hired by Director, facilitate appropriate form submission(s) to CU Nursing HR.
- Initiates HR process for hiring and paying any contract offsite clinical instructors.
- Approves timesheets for TA and contract faculty.
- Provides quarterly updates with TA, contract faculty, scholar contract, clinical instruction costs/hours.
- Coordinate with contract faculty and TAs for scheduling of contractual hours. Track contract hours.
- Manage onboarding (standardized onboarding and orientation in the Experiential Learning environment for each role).
- Student changes in schedules (AMC and SD).
- Outlook - all scheduled CEC/Sim events (AMC and SD).
- Compliance:
- Communicates to undergraduate and graduate students about registering for American Databank, My Clinical Exchange, and InPlace.
- Handling student orientation related to all students (undergraduate and graduate) regarding clinical compliance policies and procedures. This including both in-person, online (webinar) orientation as well as informational sessions where students get a clinical compliance and clinical placement information packet.
- Sets deadline for flu shot compliance. Works with CON Clinical Affairs (CCA) on annual flu shoot clinics and CPR courses offered in conjunction with CCA.
- Helping to implement new, more efficient systems for organizing and tracking student compliance via the use of compliance tracking database American Databank (ADB).
- Understanding and management of all data systems such as ADB (American DataBank) and internal CON databases as they relate to student placement in the areas of compliance and tracking.
- Updates and maintains related processes or database systems. Audits vendor website information and communications website updates as needed; ensures student accounts are available and working properly with each vendor. Works with vendors on reported issues related to technical issues with American Databank (ADB), My Clinical Exchange (MCE), and InPlace. Communicates reported issues to appropriate faculty and staff as needed. Audits ADB, InPlace, MCE and Typhon to ensure all student clinical compliance documentation is updated each semester and accurate.
- Function as the liaison for tracking and maintaining student-specific immunization and certification information including Background Verifications, Drug Screenings and Health Insurance Portability and Accountability Act (HIPAA), Occupational Safety and Health Administration (OSHA), and Medical Leave. Complete reoccurring audits on a semester basis to ensure compliance related to immunization and certification information.
- Sets compliance deadlines for all new and current students for all programs within the College of Nursing. Communicate deadlines and consequences of non-compliance clearly and concisely to all students, faculty and staff.
- Troubleshoots student issues related to compliance and compliance programs; responds to student inquiries and questions related to compliance and compliance programs.
- Set up CPR certification/recertification events for students and faculty, based on appropriate level of education and background.
- Assists in creation of policies as related to student clinical compliance and requirements.
- Offer support to all students who must file a Worker's Compensation claim with the campus Risk Management Office for any needle sticks, bodily fluid exposure or injury sustained while in the clinical setting.
- Provide information regarding the required protocol for reporting an incident, proper forms to complete, follow up care and locations to be seen for patient care.
- Maintains and keeps records for all student Medical Release forms by reviewing documents submitted by students for completeness and medical release due dates. A Medical Release form is required if stipulated by the course instructor in order for the student to return to the clinical setting without restrictions, based on the requirements listed in the CON Technical Standards Policy.
Salary & Benefits:
- Hiring Salary Range: $4,362 - $5,408 per month ($52,344.60 - $64,907.304 per year).
- The salary offered is usually the minimum listed, however, a salary above the minimum may be offered for some hard to fill positions and/or in recognition of prior and applicable skills, experience, certifications, etc...
- This position is eligible for overtime compensation.
