As a Workplace Coordinator at RingCentral, you will play a pivotal role in ensuring our office environment is conducive to productivity, comfort, and safety. You will serve as the point of contact for vendors and contractors, manage facility operations, and provide essential support to the Workplace Manager and local team. This role requires a keen eye for detail, excellent organizational skills, and a proactive approach to problem-solving.

Key Responsibilities:

  • Serve as the primary point of contact for vendors and contractors responsible for facilities management, including day porters, technicians, and shipping/receiving personnel.

  • Lead all aspects of vendor management, ensuring contract fulfillment, compliance with company policies, and adherence to project management obligations.

  • Conduct daily rounds to inspect the entire office space, identifying and addressing issues related to furniture repair, structural concerns, cleanliness, and maintenance.

  • Proficient in using tools and conducting light handiwork, including assembling, disassembling, and maintaining office furniture and accessories.

  • Assist the Workplace Manager in enforcing company policies and procedures among employees.

  • Manage pantry needs and collaborate directly with the local team to ensure adequate supplies and cleanliness.

  • Oversee the organization and maintenance of all physical spaces, including cafe areas, collaborative spaces, storage rooms, and any dedicated RingCentral areas.

  • Support Workplace Manager and local team in meeting health and safety standards, including coordinating necessary tasks and inspections.

  • Lead the local team in executing internal office moves, from planning to implementation.

  • Take ownership of managing the Office Space software system for the Denver office.

  • Utilize the building management system to address daily maintenance issues such as kitchen equipment and carpeting.

  • Provide support for the reception desk, liaising with RingCentral and building security, and managing the special events calendar.

  • Manage and execute room setups for special events, ensuring all arrangements meet the event requirements.

  • Deliver top-tier customer service to our employees, promptly addressing their needs and concerns.

  • Maintain strong and open lines of communication with all Workplace team members, fostering a collaborative and supportive work environment.

Qualifications:

  • Bachelor's degree or equivalent practical experience preferred.

  • 2+ years experience in facilities management, office coordination, or related field.

  • Strong organizational skills with a keen attention to detail.

  • Proficient in using basic tools and conducting light handiwork.

  • Excellent communication and interpersonal skills.

  • Ability to multitask and prioritize tasks effectively.

  • Proactive problem-solving abilities.

  • Familiarity with office management software and systems.

  • Commitment to providing exceptional customer service.

  • Ability to work independently as well as part of a team.

Please note that this role is a fully onsite role and will require you to be in the office from 9am-5pm

If you are hired in Denver, the compensation range for this position is between $35,700 and $51,000 for full-time employees, in addition to eligibility for variable pay, equity, and benefits. Benefits may include, but are not limited to, health and wellness, 401k, ESPP, vacation, parental leave, and more! The salary may vary depending on your location, skills, and experience.
